How to Estimate Your True Guest Count and Plan the Right Buffer
One of the most common planning mistakes couples make is estimating their guest count too low.
They rightfully assume that not everyone will show up and worry about renting items that they do not need.
However, this has it’s drawbacks as, tables, chairs, and layouts suddenly stop working.

Use the steps below to quickly estimate your true planning guest count.
Step 1 - Start With Your Invitation List
Write the total number of people you plan to invite.
This is not your expected attendance.
This is simply the number of invitations going out.

Step 2 - Identify Your “Guaranteed Guests”
These are the people who are almost certain to attend.
Examples may include:
- Immediate family
- Wedding party
- Close relatives
- Best friends

Step 3 - Consider Travel Distance
Travel distance affects attendance.
Use this quick guideline:
Local guests (within 1 hour)
Expect: 85–90% attendance
Regional guests (2–5 hours away)
Expect: 70–80% attendance
Destination guests
Expect: 50–65% attendance
If most of your guests are traveling, odds are, your attendance may will lower than your invitation count. Use the above merely as a guideline.

Step 4 - Actual Planning Count
Start by planning for 100% attendance.
This guarantees every guest has a seat and your layout works at full capacity. It’s always easier to reduce quantities later than to add rentals after inventory is reserved.
